Domain, email and hosting: what do you need to control?

A new website can affect your domain, DNS and email in different ways. Inventory the accounts, responsibilities and settings before changing your agency or hosting provider.

Your domain, website and email are separate parts. Record who is responsible for each.

Separate the four parts

Domain
Registration gives you the right to use the address during the registration period.
DNS
Settings direct the address to services such as your website and email.
Hosting
Where the website files or system run.
Email
The service holding mailboxes, messages and sometimes calendars and contacts.

One invoice may cover several parts, but check each separately. Mark every part of the migration plan as staying, changing or closing, with the responsible person or provider.

A new website

You do not automatically need a new domain or mailboxes. Ask what can stay. If email will remain while the website moves, say so explicitly in the plan.

Check the holder and renewal

The right to a .se or .nu domain follows the registration agreement. Internetstiftelsen explains why the holder’s details need to be correct.

  • Holder: confirm the correct person or business is registered and the contact address is accurate.
  • Renewal: record the date, payment responsibility and how you receive a reminder.
  • Recovery: choose an address you can access if email on the domain stops working.
  • Changing agency: get written instructions for regaining access and transferring the domain when leaving.

Take inventory before moving

  • Domain: registrar, holder and renewal date.
  • DNS: provider and a current copy of settings.
  • Website: hosting, publishing system and authorised administrators.
  • Email: provider, mailboxes, aliases and forwarding rules.
  • Connected services: forms, booking and analytics.
  • Handover: backups, licences and files that can be transferred.

Keep credentials in a password manager. Grant access through each service’s invitations where available. An account and responsibility list is enough for the initial brief; do not send all your passwords in an ordinary email.

Plan email separately

When changing DNS provider, move the settings email needs as well. MX records identify receiving mail servers; other records support sender verification. Have the responsible technician review the full list.

If you are also changing email provider, plan three things:

  • Transfer: old messages, folders, calendars, aliases and phone settings.
  • Testing: how incoming and outgoing mail will be checked afterwards.
  • Closure: keep the old account until the transfer is confirmed and the responsible person approves closing it.

Prepare the website move

Review the site before repointing the domain. Keep existing page addresses when they still make sense.

  • Check the mobile layout, contact form, images and links.
  • Confirm the backup and a rollback plan if the new environment fails.
  • Choose a time when someone can check the result and fix problems.
  • Map changed addresses to relevant new pages using permanent redirects.

After the move

Follow up availability and indexing. Search results can change while the move is processed.

Confirm before closing old agreements

Before ending old agreements, confirm that the business can access the right accounts, the website and email work, and payment responsibilities are recorded.

Changing registrar for .se or .nu requires an authorisation code from the current provider. Follow Internetstiftelsen’s guidance and give the code only to the person carrying out the transfer.
